  • This is a brilliant administration job for someone who loves being at the heart of the organisation, supporting a creative team, and taking pride in helping an award-winning digital marketing agency operate even more efficiently across projects, people, and looking after the pennies.

    Hours: 4 or 5 days a week

    Salary: £23500 to £28500k

    Start: January 2024

    Location: Cambridge, UK (minimum 3 days a week).

    What are the key duties?

    ** Projects **

    • Administering new projects in our system from start to finish, ensuring we follow consistent processes around set-up and wrapping them up at the end

    • Ensuring good workflow processes to ensure we deliver on time, helping the team update the status of the project and record their time, and running monthly reports on profitability

    • Administration such as booking kick-off meetings or gathering source information including brand guidelines and creative assets

    ** Team **

    • HR duties including issuing contracts for staff members and contractors, calculating holiday time and booking one-to-ones with our Director

    • Booking freelancers and contractors, issuing purchase orders, and ensuring timelines and delivery dates are made clear

    • Arranging gifts, cards and celebrations

    ** Operations **

    • PA duties to our Director; diary management and booking travel

    • Answering the phone, making coffee; booking meeting rooms

    • Liaison with our IT team over technical issues

    • Ensuring correct Microsoft templates are being used and company policies and our ‘How-to Sookio’ handbook is being kept up to date

    • Office management; keeping the place tidy, watering the plants, and getting milk, paper, ink and other essentials.

    ** Financial **

    • Weekly bookkeeping using Xero, including reconciling the bank, preparing the VAT return and keeping files in order.

    • Chasing invoices, processing expenses, preparing purchase orders and dealing with ad hoc queries from clients or the team.

    • Purchasing light office equipment and stationery

    Essential! We need you to be

    • Organised and efficient. Always looking to find ways to finetune our processes to help us become more profitable and productive

    • Proactive: always aware of what’s going on around you and thinking how you can support the fabulous Sookio team and help us become even more efficient

    • With an excellent standard of English, in written and spoken communication

    • Confident in Xero to a standard where you understand VAT and reconciling the bank (payroll is calculated by our accountants)

    • Confident in Microsoft 365 suite: Word, Excel, PowerPoint
